Monitoring leads that received no response

Find genuine enquiries without a verified reply, separate pending from overdue cases and resolve each exception against the original request.

Find unanswered enquiries by comparing each genuine request's received time against evidence of a relevant first reply. Show requests still inside the agreed response window separately from overdue ones. Assignment, an automatic acknowledgement or a completed internal task should not remove a request from the unanswered list.

Define which requests to monitor

Include genuine sales enquiries from the routes the team handles. Give support requests their own response owner. Label confirmed tests, spam and repeated transmissions under the team's established rules. An unclear request still needs a response, even if that response is a clarifying question.

Keep the original request, received time, intake route, current and previous owners, response window, first verified reply time and status. If a conversation moves to another record, retain a trace from the original request to the reply.

Requests to include in the unanswered view

  • Include genuine sales enquiries from the routes the team handles
  • Give support requests their own response owner
  • Label confirmed tests, spam and repeated transmissions under the team's established rules
  • Treat an unclear request as needing a response, even if that response is a clarifying question
  • Keep the original request, received time, intake route, current and previous owners, response window, first verified reply time and status
  • If a conversation moves to another record, retain a trace from the original request to the reply

Decide what proves a response

A first response should address the request or ask a relevant question. Record attempted contact separately if the team needs to distinguish an unanswered call from an answered call or a written reply sent successfully. A bounced email is not a successful reply. Agree how voicemail and confirmed bookings will be treated under the actual service promise, then apply that definition consistently.

CRM fields need interpretation. A date or activity label may indicate engagement or logged work without proving that a particular enquiry received a relevant reply. Inspect the underlying activity and check for logging gaps.

What counts as a verified first response

  • A first response addresses the request or asks a relevant question
  • Record attempted contact separately if an unanswered call must be distinguished from an answered call or a written reply sent successfully
  • A bounced email is not a successful reply
  • Agree how voicemail and confirmed bookings are treated under the actual service promise, then apply that definition consistently
  • Interpret CRM fields by inspecting the underlying activity and checking for logging gaps
  • A date or activity label may indicate engagement or logged work without proving a particular enquiry received a relevant reply

Work from two views

Needs review: requests with no verified reply whose agreed window has not ended. Their owner can act before a promise is missed.

Overdue and unanswered: requests past that window with no verified reply. Assign someone to check the conversation, correct logging errors and give genuinely missed requests a responder. Show older receipts clearly while allowing urgent requests to follow the business's stated service rule.

Automation can surface records or create tasks. HubSpot documents workflow task creation and several delay types, subject to subscription and configuration. Check whether an escalation delay counts elapsed time, Monday-to-Friday business days or a selected day or time. A task is a reminder, not evidence of a reply.

Two views for unanswered leads

  • Needs reviewRequests with no verified reply whose agreed window has not ended. Their owner can act before a promise is missed.
  • Overdue and unansweredRequests past that window with no verified reply. Assign someone to check the conversation, correct logging errors and give genuinely missed requests a responder.

Automation checks before trusting a task

  • HubSpot can create workflow tasks and offers several delay types, subject to subscription and configuration
  • Check whether an escalation delay counts elapsed time, Monday-to-Friday business days or a selected day or time
  • A task is a reminder, not evidence of a reply
  • Assignment, an automatic acknowledgement or a completed internal task should not remove a request from the unanswered list

Resolve each exception

For every flagged request, check the owner, related records and channels where a reply might have been sent. If a reply exists, record its actual time where possible. If none exists, appoint a responder to address the original request. Keep any logging uncertainty visible rather than assuming a missing entry proves no contact.

Review repeated exceptions by intake route and handoff. Misses clustered around one form may suggest a delivery or notification issue. Misses after reassignment may suggest a handover issue. These are possibilities to investigate using the requests themselves, not conclusions from the view alone.

Resolve each flagged request

  1. Check the owner, related records and channels where a reply might have been sent
  2. If a reply exists, record its actual time where possible
  3. If none exists, appoint a responder to address the original request
  4. Keep any logging uncertainty visible rather than assuming a missing entry proves no contact
  5. Review repeated exceptions by intake route and handoff
  6. Investigate clusters around one form or after reassignment as possible delivery or handover issues
