Plan a useful B2B download around a buyer’s task, decide whether to request details, explain delivery and review the enquiries it creates.

A useful download helps a prospective buyer complete a specific task: gathering requirements, comparing options or preparing a discussion. Start with that task, make the file usable on its own and explain what happens if the person provides contact details. A download request shows interest in the resource; it does not, by itself, establish a qualified sales enquiry.

Choose the task before the format

Ask what the buyer is trying to do and what they will have when they finish. A facilities manager collecting site details needs a different resource from a procurement team comparing service proposals.

The table offers possible formats, not predictions about which will attract more contacts. If a short answer on the page completes the task, give it there. A downloadable version earns its place when the buyer will save, fill in, print or share it.

Make the file useful on its own

Give the resource a clear title, intended user and completion point. Define unfamiliar terms, leave space for answers where needed and show what to do when an answer is unknown. A checklist item that says only “assess requirements” leaves the difficult work with the buyer. Name the information to gather and the decision it informs.

Ask someone who handles the relevant work to check the questions and guidance. A worked example can clarify a task, provided it is labelled as an example rather than a promised outcome. State material limits too: a requirements worksheet may prepare an initial discussion without determining the final specification.

Decide whether to request contact details

Explain what the person receives, how it arrives and why the requested details are needed. An email address may be needed to send a file by email. For organisations covered by the Australian Privacy Principles, APP 3 sets requirements for collecting solicited personal information, including a necessity test for organisations collecting non-sensitive information. APP 5 requires reasonable steps to notify people of specified collection matters or ensure they are aware of them. The requirements depend on the organisation and the collection.

Keep the download request distinct from any separate choice to receive ongoing marketing. Check applicable Australian spam requirements before sending marketing messages.

For an organisation covered by the APPs, APP 3 also requires personal information to be collected by lawful and fair means and, generally, from the individual concerned. Sensitive information has additional safeguards: collection must be reasonably necessary, and the individual must consent unless an exception applies. These requirements make it important to distinguish details genuinely needed to deliver a download from information collected for other purposes.

An APP 5 notice should cover the organisation’s identity and contact details, why it collects the information, whether collection is required or authorised by law, and the consequences of not providing it.

It should also explain usual disclosures, where to find the privacy policy and, if relevant, likely disclosures to overseas recipients and their countries. Take reasonable steps to provide this information before or when collecting details, or as soon as practicable afterwards if that is not practicable.

Deliver what was promised

Describe the file before the form: its format, the task it covers and any material limit. After submission, make clear whether the file is available immediately, will arrive by email or could not be delivered. Check the delivery route, including the message and file, before promoting it. If someone asks a separate project question, respond to that request in its context rather than assuming every downloader wants a call.

Review usefulness and enquiries separately

Count file requests, successful deliveries, replies and explicit service enquiries as different events. Read the questions that arrive after the download. Did the file help people prepare a decision, or did a step cause confusion? Did the project enquiries concern work the business can do?
