Explaining follow-up expectations before a download

Set clear expectations for file delivery, requested replies and marketing contact before someone submits a download form.

Tell people what will happen after they request a download, before they enter their details. Separate file delivery, a reply they specifically request and any proposed marketing messages. The explanation beside the form should match the confirmation, delivery message and the team’s actual follow-up.

Describe the immediate exchange

A visitor should be able to answer four questions: what they are getting, how they will receive it, which details are needed and whether someone will contact them about something else.

Where the file is sent by email and no sales call is made, wording could be:

Enter your email address and we’ll send you the requirements worksheet. It helps you collect information for an initial supplier discussion. No one will call you because you requested the file.

Use a statement about calls only when the process supports it. If the file appears on a confirmation page instead, say so.

Do not claim a file has been sent when delivery has failed. Name a material limit, such as a worksheet that prepares a discussion but does not produce a final specification.

Distinguish three types of contact

A file request is not an automatic request for the other two. If the business offers to review a completed worksheet, make it an optional next step with its own promise.

Check the applicable Australian spam requirements before sending marketing emails or messages.

A download request alone is not blanket permission for a continuing marketing sequence. If a separate marketing choice is offered, describe it clearly and record what the person chose. Check any proposed message and consent basis before it is sent.

Put the explanation where the decision happens

Place the delivery and contact wording beside the fields and action, then use consistent language in the confirmation. A general privacy notice may provide more detail, but it may not explain an unexpected sales call at the point of exchange.

For organisations covered by the Australian Privacy Principles, APP 5 requires reasonable steps to notify people of specified collection matters or ensure they are aware of them. Those matters and the reasonable steps depend on the collection.

If sales follow-up belongs to a different offer, label it plainly: “Request a review of your completed worksheet.” Say what the team will assess and how it will respond. Do not hide that request behind a “Download” button or promise a response time the team has not committed to meet.

Check the journey before launch

Read the invitation, fields, marketing choice, button, confirmation and outgoing messages as one sequence. Check whether the file arrives as described, an unselected marketing choice stays unselected and a review request reaches the right person.

After launch, inspect replies and complaints for signs of surprise. If people ask why they were contacted, compare that contact with the wording they saw when they requested the file. Revise the wording or process so the exchange remains clear.
